What is marketing automation in B2B practice?

Marketing automation is a set of tools and processes that take over repetitive, predictable tasks: responding to a form, assigning a lead to a salesperson, sending a reminder, or compiling campaign results. In B2B sales, where the decision-making process can be long and multi-stage, automation most often applies to the moment between acquiring a contact and the first sales conversation.

It is not about replacing the team, but about eliminating steps that do not require human decisions: copying data between systems, manually exporting reports, or tracking when to send the next email in a sequence.

Which processes should you automate first?

Not every process is worth automating: some occur too rarely to justify the implementation cost. Start with those that are frequent, repetitive, and easy to define:

What tools are used for marketing automation?

The choice of tool depends on what the company already has. One of two approaches usually works best: extending an existing CRM or email platform with automation rules, or connecting several independent tools through an integration platform such as n8n, Make, or Zapier.

The second approach works particularly well when a company uses several systems at once, for example a different CRM, a separate email tool, and a dedicated reporting spreadsheet, and wants to connect them into a single data flow without replacing any of them.

Common mistakes when implementing automation

The most common mistake is automating a process that has not been thoroughly mapped out first. If a step in the sales process is unclear or performed differently by different people, automation will only reinforce that chaos, faster and at a larger scale. A company automates lead assignment to salespeople based on rules that were never written down, just “that is how it was done.” The system starts routing large, high-value inquiries to the least experienced salesperson because they happened to reply to similar emails in the past week. No one notices for a month because the report only shows that leads are “assigned.”

A second common mistake is implementing too many automations at once, without checking whether the first one actually works correctly on real data. It is more effective to implement one process, observe it for a few weeks, and only then expand the scope.
